What it is and what it does
What does Ninjabot actually do?
Ninjabot is an AI sales rep and a CRM in one. It answers an enquiry within tens of seconds, holds a conversation over SMS, email or a call, qualifies the person against your criteria and books a meeting or a call straight into your rep’s calendar. The whole exchange and its outcome go into the CRM. Your rep logs in that morning to slots with people who want the conversation.
What is it best at?
Two situations. First: you get a lot of enquiries, and by the time you have dug through to the relevant ones a competitor has the meeting. Second: your database holds hundreds or thousands of contacts nobody has time for, and the business sitting in them is business you have already paid for once.
Will it close the deal for us?
No. Ninjabot gets you in front of people who want the conversation and books the call or meeting for a specific time. Your own person closes. On a considered or advisory sale there is no other way, and we do not pretend otherwise.
Will it replace our sales rep?
It replaces the part of the job nobody wants anyway: working through hundreds of contacts, sending four messages to each one and filtering out the hopeless ones. A motivated junior can properly approach around 300 contacts a month. Ninjabot handles thousands and takes every one to the end, including the ones that never reply.
Does it brief the rep before the meeting?
Yes. The rep opens the deal and finds the whole conversation history and everything the contact gave away about themselves. Nothing to dig for, and they walk into the call prepared.
Results and payback
What conversion can we expect?
On your own database, where people know you, conversion to a booked call usually runs from a few per cent into the low tens. On a cold database, expect single digits. We would rather give you the lower figure than let you build castles in the air, because a budget built on those falls over.
What does that conversion depend on most?
Three things, in this order. Most of all the quality of the database: whether people know you and whether you know anything about them. Then the subject you approach them with: a burning problem pulls, a tariff a few crowns cheaper does not. Only third comes how we train the agent. Without the first two, no technology saves the campaign.
Does it improve over time?
Yes, and not by itself. The AI analyses every conversation and proposes what to change in the setup. A person who understands selling approves the change. At Vividbooks this took conversion from 21% to 26% over two months, and 5% more people replied.
How do I work out whether it pays?
You need four numbers: how many contacts we reach a month, how many of them book a meeting, how many of those meetings you sell, and what a customer spends with you on average in the first year. We do the sum together on the demo, and we deliberately count more sceptically than you expect. When it works in the pessimistic version, the decision is easy.
Do you have references?
Yes. The strongest is Vividbooks: webinar registrations that would otherwise have gone cold become booked calls. Our own product keeps 62% of clients where a resold generic tool kept 19%. And we run our own AI rep as our sales team, so you have most likely already talked to our agent.
Do you have experience in our industry?
Sometimes yes, sometimes no, and when it is no we say so. The mechanics are the same across industries though: approach, get them talking, qualify, book the slot. What changes is the subject and the arguments, and those we get into the agent out of your head.
Do you guarantee results?
We do not guarantee a conversion rate; that would not be honest. What we do give you: a licence with no lock-in that you can switch off at any time, and a launch in small batches, so it shows before you commit the whole database.
Database and contacts
We have no database. Is this for us?
We can build the database: shortlist companies against signals, find the contacts and enrich them with something worth opening on. It is not a feature in the app, we do it as a bespoke service. We do exactly this for ourselves: we scan job boards for companies currently hiring a sales rep.
All we have is a cold bought list. Will it work?
It will work, but expect single-digit per cent. The gap between "info@ and a company name" and "a named person and we know what they are dealing with" is a multiple in conversion. When there is nothing in your database to hold on to, we start by adding the context.
How many contacts do we need for this to make sense?
It depends on the size of the deal. At tens of thousands and up, a few hundred contacts a month already makes sense. On cheaper, repeat business you need volume, and there we are talking thousands. We do the sum on your numbers at the demo.
Our contacts are in five different lists. Can each be approached differently?
Yes. You can run several agents, each trained differently and on a different list: one for former customers, one for cold contacts, one for partners. They run in parallel.
Can we clean the database up at the same time?
Yes, and it is the side benefit people underrate. The agent goes through contacts nobody has touched in years and sorts them into the ones worth talking to and the ones you can delete. At thousands of contacts, nobody does that by hand.
How often can the same contact be approached again?
It differs by industry, somewhere every two months, somewhere once a year. We set it to how long your customer’s decision cycle actually is.
What if the database is bigger than the meetings we can handle?
Then we do not run all of it. We set how many contacts get approached daily and monthly, so it fills your calendar at a pace you can carry. The rest waits.
How the agent communicates
Can the customer tell they are writing to an AI?
The agent does not impersonate a specific person on your team and does not lie when asked directly. It appears under its own name as an assistant to your sales team. That is also the practical choice: if it played one of your reps, the first face-to-face meeting would give it away.
Can the agent appear as one of our named reps?
We advise against it. When a customer at a meeting brings up something they wrote "to you" and you know nothing about it, that is worse than an assistant having written from the start.
Will it annoy people? Will we burn our database?
This is not a mass send. The agent holds a conversation, responds to what the person writes, and when somebody says they are not interested it thanks them politely and stops. We launch in batches and review the first hundred contacts before releasing the rest.
How many times does it approach someone before giving up?
One opening message and usually three follow-ups. It sounds like a lot, but an interesting share of people still respond to the fourth message. What matters is that 100% of contacts get the sequence. With a human rep you never have that certainty.
Can the agent promise something we do not do?
No. In the setup you define which products it offers, what it must not touch and which rules it has to hold. The AI answers only from what you uploaded into it. On sticking to rules it is more disciplined than most human reps.
We keep internal notes in the CRM nobody should see. Will it surface them?
The agent works only with what you allow it in the configuration. You set which fields it draws on and which it does not, so internal scoring and notes between colleagues stay out of it.
Does it answer in the evening and at weekends?
To enquiries, yes, immediately. Active outreach keeps office hours, but if somebody writes back at three in the morning, the agent answers at three in the morning. Those night-time enquiries are exactly where business appears that otherwise would not.
Does it speak more than one language?
Yes. Tag the contact with a language and the agent uses it.
How does it know who to pass on and who to turn down?
By the criteria you set. The agent could book more meetings, but a meeting with somebody who cannot buy from you only costs your rep time. On one live campaign the agent turned down 267 contacts out of 742 by itself, because they did not meet the brief.
Channels
SMS, email or a call: what works best?
Over 90% of people open an SMS, about a quarter open an email. What comes back follows the same shape. Email makes sense where the recipient knows you and expects a professional exchange. On a cold database, SMS wins. Most often we run both channels side by side.
Can it make calls?
Yes, the voice channel is part of the solution. We keep the call short: within the first minute the agent checks whether the subject is live and hands the contact to a human rep. Most clients start with SMS and email and add voice afterwards.
What if the customer calls that number back?
We either forward the call to you, or the caller hears a message saying the number does not take calls. We recommend the first: somebody calling back is interested.
Will this burn our domain?
For sending we recommend a separate domain, so your everyday mail stays out of the risk. We watch the domain reputation and set the campaign up so it does not look like a mass send.
Do we have to arrange a phone number for the SMS?
No. We open an account with an SMS gateway for you, sort out the phone number and connect it to the app. When the engagement ends, the number is released.
Rollout and the technical side
Do we have to change our CRM for this?
No. We connect to what you use: Pipedrive, RayNet and other systems with an API. And if you have nothing serious or you run on a spreadsheet, a full CRM is part of every plan. You see the pipeline, contacts and activities, and it fills itself in.
We have a bespoke system of our own. Will it work?
If it has an API, we connect it. We quote a bespoke integration only after a short analysis; we do not make promises about a system we have not seen. Until the integration is done you can run on the CRM in the app, so nothing is held up.
Do I need to be technical to set it up?
No. You do not need a developer or an AI specialist, you need to know how to sell your own product. The app ships with a reference configuration and a video walkthrough. Anyone who can think like a sales rep can train the agent.
Will you set it up for us?
Yes. Under Agent Management we run a sales consultation with you, design the campaign, train the agent, test it and keep tuning it. It is done by somebody who understands selling, not by a technician.
What do you need from us?
Your sales material: information about the company and the products, the price list, case studies, and your objection handbook if you have one. Plus an hour and a half of consultation and access to the calendar. The rest is on us.
How long does launching take?
Two to four weeks from the order. Two when you meet us halfway on the material and the sessions. For the first few weeks the campaign runs in small batches and gets tuned, and you reach full operation in roughly a month.
How do we find out what it will do before we let it near our customers?
Nobody wants to point an AI at their own database blind. So first you write to the agent yourself in test mode. Then you run AI testing: personas of your customers are generated, hundreds of test conversations take place, and the analysis tells you what to fix in the setup. Only then does the campaign go out, and even then to 50 to 100 contacts first.
Can we try it first?
We will give you access to the app and you can click through it. A pilot on a live database has no shortcut though: to show a real result, the full training and testing has to be done. What you can do is start with a smaller volume of contacts and widen it once the numbers hold up.
What if the AI model behind it changes?
You reconfigure nothing. We test and roll out new models centrally, and your configuration stays as it is.
Price, commitment and data
What does it cost?
You pay for what you actually use, not for seats. You never pay per team member: plans differ by AI capacity and by volume of use, and the whole team is included. A full CRM is part of every plan. The actual figures are on the Pricing page.
What costs extra?
The SMS you send, because the gateway operator bills them. Then a one-off setup fee: connecting the channels, the calendar and your CRM if you have one. Most of those items are optional, so you can start cheaper and add to it once you have results.
Are we tied into anything?
No. The licence runs monthly and can be reduced, raised or switched off. The worst case available to you is that you pay the one-off setup and decide not to carry on.
How does this compare with the cost of a sales rep?
Running it comes out an order of magnitude below a junior rep’s salary, and a junior handles a fraction of the volume. On top of that salary, add recruitment, onboarding, and the chance they leave in three months.
Where is our data and who has access to it?
Your data stays in your system if that is what you run on; we only work over it within the scope you allow. The infrastructure matches the standard of ordinary CRM systems. We sign NDAs as a matter of course and send the security documentation on request.
