The quiet of knowing every enquiry is handled.
Alex answers every enquiry, checks it is real, finds out what is driving it, and decides against your own criteria whether it is worth passing on. The ones that are get a slot in your rep’s calendar. The rest he turns down politely, and says why.

No row is waiting for somebody to get to it.
This is the list you look at in the morning. Every enquiry shows when it landed, how long the answer took, and where it ended.

Five of the eight arrived in the evening, at night or over the weekend. Without Alex all eight would have waited until Monday.

Drawn from the real screen in Ninjabot, with invented data. A real list carries the names and mobile numbers of our customer’s customers, so it is not published, blurred or otherwise. The figures at the bottom are from one real day.
An enquiry does not wait until you have a moment.
These are not lost enquiries. This is work nobody ever had time for, because the volume makes it impossible.
A lead arrives in the evening, the team notices in the morning, assigns it, and the rep does not get through first time. Real first contact lands the next day. Whoever answered first already has the meeting.
From paid advertising, 50 to 80 per cent are typically irrelevant. The team has to work through them, first call, second attempt, third, before finding the 5 to 20 per cent who can actually buy.
Qualifying leads from adsInterest peaks right after the event. Hundreds of registrations at once cannot be called in any reasonable time, and by the time the team gets there the interest is gone.
Enquiries from registrations and webinarsThey ask about a price or an extension, get an answer, and that is the end of it. Nobody turns it into a tracked deal. And it is the warmest contact you have.
Enquiries from existing customersSeven steps your team otherwise does by hand.
On the tenth enquiry of the same day and on the one that arrives on Sunday evening. This is the part people do unevenly, because they are people.

Catches the enquiry
A form on your site, Facebook, Instagram, email. Whatever reaches you today lands in the CRM as a contact and a deal.
Nothing retyped by hand

Checks the contact is real
A made-up number or a dead address never reaches your rep.

He answers outside working hours too. Somebody who writes at three in the morning is answered at three in the morning. Those night-time enquiries produce business that otherwise would not exist.

Finds out what is driving it
Why they filled the form in, what they are solving, how urgent it is. Not a questionnaire, an ordinary conversation.
Your rep goes in prepared

Checks your qualifying criteria
Two or three questions you set. Whoever fails them never reaches your rep, and that is most of what paid advertising sends. You change the criteria yourself, as the meetings teach you what matters.
Your criteria, not ours

Handles objections and questions
He answers from your own material, from price lists, references and technical detail, not from a script.

Books the meeting, or declines politely
The slot comes from the rep’s own calendar, and the CRM gets the whole conversation with it. A contact that does not fit is closed with a reason, so nobody leaves with a bad impression. From here on it is your own person.
The seventh step stays yours
The last row is pink on purpose. Alex gets you to the table; your own person closes.

The agent answers the form itself, establishes motivation and the technical detail, and scores potential against clear criteria. Relevant cases go to Raynet CRM complete. Over two months that saved €3,800 against a junior rep’s salary.
Read the case study“Ninjabot sent 444 people into our calendars in one month, all of them ready to deal with the subsidy and the retrofit now. After a week we had to slow it down, because our regional reps could not keep up with the on-site surveys.”
“Without active outreach we would struggle to generate new opportunities at this scale.”
“The biggest value is not just the time saved, it is the quiet of knowing the whole process works and that we have it under control.”
What people ask us about Alex.
Will the customer know they are writing to an AI?
Alex does not pose as a particular person from your team and does not lie when asked directly. He works under his own name as your sales team’s assistant. It is also the practical choice: if he played one of your reps, the first meeting in person would give him away.
Does he answer in the evening and at weekends?
Yes, to enquiries straight away. Those night-time enquiries are exactly where business appears that otherwise would not.
Will it close the deal for us?
No. Alex gets you in front of people who want the conversation and books a specific time. Your own person closes.
How does he know who to pass on and who to turn down?
By the criteria you set. Alex would book more meetings than this, but a meeting with somebody who cannot buy from you only costs your rep an hour.
Can he promise something we do not do?
No. You define which products he offers and which rules he has to hold. He answers only from what you loaded into him.
How long does it take to go live?
Two to four weeks from the order, depending on how fast the material arrives. The first few weeks run on small batches and get tuned.
Alex handles what comes in. Bea starts where nothing comes in at all.
If your problem is not the inbound but a database nobody has touched in years, that is Bea’s work.

Goes through contacts nobody has touched in years and finishes every one, including the silent ones.
