Alex, the AI rep who handles incoming enquiries

Alex

Works your inbound enquiries

The enquiry lands at 21:00. Alex replies at 21:01, asks what your criteria say to ask, and offers a slot straight out of your rep’s calendar.

  • Replies in minutes, not the next day. Over SMS and email, in office hours and outside them. The customer never gets as far as writing to a competitor.
  • Checks the contact is real. A made-up number from the form never reaches your rep.
  • Qualifies against your criteria. On one live campaign he turned down 267 of 742 contacts by himself, because they did not meet the brief.
  • Turns down the ones who are not serious, politely. And explains why, so nobody comes away with a bad impression of you.

SMS · Monday evening

  1. 21:00

Hello, we would need a quote for 40 licences.

  2. 60 seconds later

Good evening, and thanks for getting in touch. Are those 40 users in one team, or across the company?

  3. Across. We have three offices.

  4. Understood. Let me offer you 20 minutes with one of our people. Thursday 16:30, or Friday 10:00?

  5. Thursday.

Bea, the AI rep who works the database

Bea

Works your database

Hundreds or thousands of contacts you have already paid for are sitting untouched in the CRM. Bea goes through all of them and finds who is ready to talk now.

  • Picks up what you already know. She pulls the notes, the meeting records and the past quotes out of the CRM, so she writes a personal message rather than a broadcast.
  • Follows up, usually three times. The work a human rep gives up first. And people still reply to the fourth message.
  • 100% of contacts get the sequence. With a human rep you never have that certainty.
  • Cleans the database while she is in there. She separates the contacts worth talking to from the ones you can delete.

Eight steps in a sale. They do seven of them.

Every contact goes through exactly this sequence, every time, with the same thoroughness. That is the difference from a human team, not the speed.

  1. 01Alex and Bea

Take the enquiry, or open the conversation

A form on the website, Facebook, Instagram, an email, an SMS. Or the other way round: Bea writes to a contact in the database herself.

    Nothing retyped by hand

  2. 02Alex

    Check the contact is real

Before talking to anyone, he confirms there is somebody on the other end and that they can be reached.

A made-up number goes no further

  3. 03Alex and Bea

    Get a reply

The first step is not to sell but to get an answer. Nothing else can be established until there is one.

Within a minute, even at 21:00

  4. 04Alex and Bea

    Find out what they want

Why they got in touch, what they are dealing with, how urgent it is. A conversation, not a questionnaire.

What the person is actually solving

  5. 05Alex and Bea

    Check the qualifying criteria

Two or three questions you set. They are what tells a meeting worth having from one that is not.

    267 of 742 turned down

  6. 06Alex and Bea

    Handle the questions and objections

Answering out of your material, not a script. Price lists, references, case studies, the objection handbook.

    From what you uploaded

  7. 07Alex and Bea

Book the meeting, or decline politely

A slot out of your rep’s calendar, an invitation to both sides, a note in the CRM. An irrelevant contact is closed.

    Thursday 16:30, confirmed

  8. 08Your rep

    Meet and close the deal

This one stays with you. Your rep opens a single task, sees the whole history and everything the contact gave away, and walks in prepared.

The part you are good at

Nobody is taking that last card off you. Alex and Bea replace no one; they take the work your team never had time for.

Everything comes back round. Nothing gets retyped.

The agents open the conversation and work it, the CRM writes everything down, your team closes and tells the agents what it learned. Then it runs again.

  1. Ninjabot

    The AI reps

Alex on inbound enquiries, Bea on the database. They talk, qualify and book meetings.

They write down every conversation and the agreed slot
  2. In the licence

    Ninjabot CRM

Contacts, deals, tasks and the history of every conversation, written down by themselves.

It hands over a finished task with the whole history
  3. You

    Your sales team

Opens one task, turns up to the meeting and closes. It does not hunt for contacts.

It feeds back the criteria, the tone and what only a person knows
  4. One circuit

Already have a CRM? We connect the agents to it and your people stay where they are used to working.

Run your AI sales team from one platform.

The seven things behind Alex and Bea. They are not two chatbots; this is a sales team with a memory, a preparation step and quality control of its own.

Built-in CRM

Contacts, import from CSV and XLSX, the state of every conversation and its full history in one place. It fills itself, out of each conversation, without a click from your team.

You do not have to move anywhere. We connect the agents to your system.

The agents read context out of your CRM, write conversations back into it, and create deals and tasks. Your team stays where it already works.

RayNet and Pipedrive are routine, and any other CRM with an API we integrate to order. The agent then sees the slots your reps genuinely have free and books the meeting there and then.

Channels

SMS and email need no integration at all; both are part of the product. We set up the SMS gateway account and the phone number for you, and the number is retired when we stop working together.

Enquiries and models

  • Facebook
  • Instagram
  • ChatGPT
  • Claude

Enquiries from Facebook, Instagram, the website form and email land straight in the CRM. New AI models are tested and rolled out centrally, and your configuration stays exactly as it is.

Live in 14 days. Your time: 3 to 4 hours.

The rest is on us. Here is what happens over the fortnight.

  1. Day 1 to 3

    Onboarding

We close the order, create the accounts and hand over the access.

  2. Day 4 to 7

    Configuring the AI

We set the identity, the product, the qualifying criteria and the tone.

  3. Day 7 to 12

    Testing

You message the AI and play out real situations. We tune it until you are happy.

  4. Day 13 to 14

    Integration and launch

We connect the CRM and the channels, test it, and put it live.

Run it on your own numbers.

Four numbers out of your own sales. Pick whether the enquiries arrive on their own or you go and find them, and put your own figures over the starting ones.

SMS is billed at the gateway’s rate. Setting it up (connecting the channels, the calendar and your CRM if you have one) is a one-off, outside the licence.

You are not on your own.

We set the agents up and connect them to what you already use.

Implementation is not a configuration form we email you. We go through who you sell to and what objections you hear, train the agent on that, test it on a dry run, and connect it to your CRM, your calendar and your channels. Done by somebody who understands selling, not a technician.

from €1,000one-off

A one-off, alongside the monthly licence rather than instead of it. The figure depends on how many agents we build and what gets connected; you get the exact number in a quote after a short consultation. Ongoing campaign tuning is a separate service.

  • Connecting your CRM, your calendar and your channels

What people ask us most.

Do we have to change our CRM for this?

No. RayNet and Pipedrive are routine, and any other CRM with an API we integrate to order. Your reps carry on working where they already are: the meeting lands in their calendar with the conversation history attached. And if you have no CRM at all, ours is in the price, with no per-user fee.

How do I know the AI communicates properly before I let it near customers?

Nothing goes out without your say-so. First you message the agent yourself, then AI testing puts it through hundreds of trial conversations. It reaches a live database only when you say so, and you can start with a small sample.

How does the AI tell who is a serious buyer?

By the criteria you set: what to ask, what counts as relevant for you, and who to turn down politely. You can change them any time: tighten them when too many browsers come through, loosen them when you want more meetings.

What if people do not reply to the first message?

That is expected. Most people reply on the third or fourth message. The agent follows up by itself, usually three times, and only then closes the contact as unresponsive. Exactly the work human reps abandon first.

Can a customer tell they are messaging an AI?

The agent uses its own name, replies at a natural pace, and draws on your material, so it handles specific questions too. The point is not to deceive anyone; the point is to answer quickly, accurately and politely. Customers care far less about who replied than about it happening within a minute.

How long does it take to go live?

Fourteen days when the material and the dates reach us promptly. When the material drags, it becomes three to four weeks. You can set it up yourself from the template and the video walkthrough, or we train it with you.

What if it does not work?

The licence has no lock-in. If the results do not come, you switch it off and pay nothing further.

This is a selection. The FAQ page has all 47, covering channels, data and what costs extra.
